HPC COMMITTEE.
In November each year the clubs "Annual General Meeting" is under taken. The AGM is where Horsemens committee is elected for the following year.
The club's committee is designed to be a representation of the club's membership and of course to represent the club members wishes and requirements in running an effective club. As these appointed club members represent the complete club's membership - all club members have the right to communicate any issues with the relevant appointed committee members.
We in fact welcome club members to discuss any issues with the relevant Committee Members or the Club President.
If you have an issue with the club or its running - please come and discuss it with a committee member. All committee members are volunteers, we are all trying to do / make the best decisions for the club as a whole. As a committee we are going to make mistakes but a great committee will admit when we have it wrong and of course then put corrective actions in place.
As a club we have to make the best decisions that suit the majority of the club members and of course what is best for the club over all - not just decisions for individuals ! The committee's charter is to listen, research to make well informed decisions that ensure we maintain the clubs core objectives.
Club members are also welcome to attend any committee meeting that we hold. Whilst club members are welcomed to attend these meetings - they do not have any voting rights at any committee meeting. General club members can ask questions if they wish or make comment during "General Business" section of the meeting agenda. HPC Committee meetings are held generally held the week prior to that months nominated rally date.
Committee Members are elected by the Club to manage all of Horsemens Pony Club activities and to make executive decisions as part of the Committee. Committee Members lead the Club on behalf of all Members and they are responsible for:
Providing guidance, support and direction to Club Members
Actively promoting the Club
Developing and maintaining promotional material
Improving the Club and the way it operates
Supporting the Committee and Committee decisions
Working effectively as a team and in the spirit of goodwill
Being unbiased and impartial on all issues
Ensuring the Club is represented at PCAWA Committee meetings, and providing two-way communication
Actively working to ensure that all Committee positions are filled
Actively encouraging club members’ involvement as Club Officials, on subcommittees or providing assistance as needed
Our key Committee Members areas of responsibility are namely ;
President
The Club President is responsible for:
Ensuring the Club meets its responsibilities and achieves its objectives
Managing all Club activities with the support of the Committee
Being well informed about all club activities including the financial position
Having a good working knowledge and understanding of the Operating Manual and the duties of all office holders and subcommittees
Chairing the Committee, General and the Annual General Meetings ensuring that the Meeting agenda is followed, the Meeting is conducted according to accepted meeting procedures, all club matters are discussed and the best decisions are made in a timely manner
Providing President’s reports including for Committee meetings and the AGM
Club Vice-President/s
The Vice-President is responsible for:
Directly assisting the President in the management of the Club
Performing the role of the President in the President’s absence
Club Secretary
The Secretary is responsible for:
Organizing Committee, General and Annual General Meetings including venue bookings, producing and disseminating agendas and minutes, and collating Committee reports
Following up progress with Meeting Action Items
Maintaining copies of all inward and outward correspondence (including relevant emails)
Distributing correspondence received to the Club Committee
Maintaining the Club Hand Book
Holding all current and historical club records
Maintaining and advising the Club Committee and Club Officials contact lists
Liaising with Team Managers
Coordinating the annual Presentation Night including arranging the invitations, programme, pennants, medals, certificates, supper
Club Treasurer
The Treasurer is responsible for:
Ensuring that the Club remains financially viable by the effective and transparent management of Club funds
Maintaining the Club Financial Records and producing accurate financial reports for Committee and General Meetings
Managing Club funds in accordance with the operating manual, ensuring that all income is banked and all payments are authorised
Producing and monitoring the Club budget for each season with input from Committee members
